2. Website delivery and server logs

When this website is accessed, technically necessary connection data may be processed. This includes the IP address, time of access, requested resource, referrer, browser type and version, and operating system.

Processing serves the secure and reliable delivery of the website and the detection and prevention of misuse. The legal basis is Article 6(1)(f) GDPR. Our legitimate interest is the secure and reliable operation of the website.

Log data is retained only for as long as required for operation and IT security. The hosting provider and standard retention period will be added before this privacy policy is published.

3. Contacting us through the website

When you use the contact form, we process your email address, selected areas of interest, chosen language and technically necessary transmission data. Providing this information is voluntary; without a valid email address we cannot process your request.

We process this information to handle your request and provide a more detailed Microsoft Forms questionnaire. The legal basis is Article 6(1)(b) GDPR where your request relates to a contract or pre-contractual measures. Article 6(1)(f) GDPR applies to other business enquiries.

4. Protection of the contact form with Cloudflare Turnstile

We use Cloudflare Turnstile to protect the contact form against automated and abusive requests. The provider is Cloudflare, Inc., 101 Townsend St, San Francisco, CA 94107, USA.

Turnstile analyses technical signals from the browser and device and generates a short-lived verification token. The token is validated by Cloudflare on the server before the contact request is processed. The legal basis is Article 6(1)(f) GDPR. Our legitimate interest is protecting our systems and communication channels against spam and misuse.

5. Microsoft Power Automate and form delivery

Information submitted through the contact form is passed to a Microsoft Power Automate flow operated by us. The flow generates a Microsoft Forms URL pre-filled with your email address, language and selected areas of interest and returns it to the website. The website then opens the form in a new browser tab.

Microsoft processes related data as the provider of the Microsoft cloud services we use and under our contractual agreements. The legal basis corresponds to the relevant contact request as described in section 3.

6. Additional information through Microsoft Forms

If you submit the Microsoft Forms questionnaire opened by the website, we process the information you enter there. Participation is voluntary. Required fields, purpose and scope are identified in the form.

Processing serves to clarify your request and prepare or conduct further business communication. The legal basis is generally Article 6(1)(b) GDPR, or Article 6(1)(f) GDPR for other business matters.

7. Storage and internal processing in Microsoft Dataverse

Information collected through Microsoft Forms is transferred to Microsoft Dataverse by Power Automate. It is stored there in a structured form and processed by authorised Remynd Systems GmbH personnel through Microsoft Power Apps and Microsoft Teams.

Access is assigned according to operational roles and permissions. Data is disclosed to external recipients only where necessary to process the request, where required by law or where you have consented.

Data is erased when it is no longer required to process the request or for subsequent contractual purposes and no statutory retention duties apply. The operational retention period will be added before publication.

8. Microsoft as processor and international processing

We use Microsoft services for Power Automate, Microsoft Forms, Dataverse, Power Apps, Teams and email. Depending on configuration, support and operational processes, processing outside the European Union or European Economic Area cannot be fully excluded.

Where an international transfer takes place, it is based on applicable statutory transfer mechanisms and the data protection terms agreed with Microsoft. The tenant region and applicable contractual safeguards will be verified during legal approval.

9. Cookies, analytics and local fonts

This website currently uses no Google Analytics service, newsletter service or Borlabs cookie consent service. Fonts are hosted locally and are not loaded from Google servers.

Cloudflare Turnstile may perform technically necessary storage or access operations in the browser. These are used solely for the security check of the contact form.

10. Your rights

Subject to the statutory requirements, you have rights including access, rectification, erasure, restriction of processing, data portability and objection. Consent may be withdrawn at any time with future effect.

You may also lodge a complaint with a data protection supervisory authority. The authority generally responsible for us is the State Commissioner for Data Protection and Freedom of Information of Baden-Württemberg.
